Position Summary
The Administrative Assistant is responsible for providing general administrative support for the KCFAA office and CEO. We are seeking an individual who is organized, can provide polite, professional, and accurate verbal and written communications, and help our office operate efficiently. Duties include general clerical tasks, email correspondence, calendar management, scheduling. This is a part-time, in-office position (not remote).
Duties and Responsibilities
Administrative Assistant
- Welcomes guests, answers and transfers phone calls, takes messages.
- Provides administrative support for the CEO including preparing and distributing communications, filing, typing, copying, scanning, and scheduling.
- Coordinates facility management including ordering supplies and scheduling and arranging repairs and maintenance for office and equipment.
- Take minutes at committee and staff meetings as needed or assigned
- Provides support for our education programs including data entry, student enrollment, payments, and attendance tracking in the Jackrabbit Class system and Excel.
- Cultivates relationships with schools, parents, students, funders, and community partners by way of email and telephone correspondence.
- Assists with volunteer communications and coordination.
Qualifications
Computer proficiency in Microsoft Word, Excel, QuickBooks, and Salesforce.
Associate degree in a related field
At least 2 years of administrative assistant experience

Be able to manage multiple tasks and pay strong attention to detail.

Position Summary
In collaboration with KCFAA leadership (i.e., board members and senior leadership), staff and key volunteers, the Development Director (DD) is responsible for the creation, and implementation of a comprehensive development program to achieve annual and long-term fundraising goals. This includes ensuring the successful planning and coordination of all fundraising programs and activities for the organization, including KCFAA’s annual gala/benefit each year. The DD maintains corporate, foundation, government, and individual donor relations, and plays a key role in identifying, cultivating, and soliciting donors for major and annual gifts. In addition, the DD is accountable for grant writing and stewardship and oversees event planning, membership, and individual giving. The DD also manages the Development staff and resources.
The DD is also required to work some evenings and weekends consistent with scheduled events, performances, and other activities.

Duties and Responsibilities
Leadership
- Provides leadership and support for the Development Department staff.
- Serve on senior management team developing future organizational strategies and functions and articulates development goals to other departments.
- Assist with organization’s strategic planning process.
- Build and maintain successful relationships with Board of Directors, including organizing and implementing annual development campaign and benefit/gala. Fulfill role as primary liaison to the Board Development and other Fundraising & Membership Committees.
- Develop recommended annual Contributed Revenue budget. Monitor and manage budget. Evaluate and make recommendations as needed for contributed income sources and resources needed to fulfill objectives.
- Maintain relationships with major donors, business, government, and corporate community and foundations.
- Provide supportive supervision to development volunteers.
- Conduct annual evaluation of development function.
General Fundraising
- Plan, organize and implement an integrated approach to development with a focus on bringing new financial resources to the organization, including identifying target markets, cultivation, and solicitation strategies.
- Work with the Chief Executive Officer (CEO) to set goals, objectives, timelines, budgets, and operational and strategic plans related to each development component.
- Identify and apply for grant funding from government, corporate, and foundation sources on timely basis to meet short- and long-term financial goals.
- Manage and execute all annual, sponsorship, membership, capital, and endowment programs with assistance, as needed, from key board members.
- Recommend fundraising policies and procedures to the CEO and Board.
- Prepare and manage annual giving and contributed reports for Development Department and publication.
Direct Fundraising
- In collaboration with the Development staff and the Marketing and Outreach Leader (MOL), develop and implement strategies designed to engage existing and potential corporate partners that supports direct solicitation through, for example, proposals, grant writing, personal solicitation, direct mail, and special events.
- In collaboration with the Development staff and the MOL, develop and implement an ongoing communications program to engage existing donors, which recognizes past and current commitments and fosters support for future efforts.
- Design and plan stewardship opportunities for donors.
- Secure funding for programmatic projects across the organization.
Other Responsibilities
- Maintain relationships with development professionals in the Kansas City area.
- Provide organizational accountability to funders as required through reporting requirements, annual reports, and other mechanisms to ensure compliance.
- Manage gift-tracking, timely acknowledgments, and regular reporting on the use and
impact of funds raised. - Further professional growth through professional organization membership and
development opportunities.
Qualifications and Skills
- Education: Bachelor’s degree in marketing, business administration, public relations, communications, or related field. Master’s degree or fundraising certification preferred.
- Experience: Five to ten years’ experience in non-profit development and event management with progressive successful record of performance.
- Experience in grant writing to government, foundations, and corporations with a written record of performance preferred.
- Excellent written and verbal communications skills. Excellent interpersonal skills with demonstrated ability to work independently and
as part of a diverse team. - Proven ability to communicate the mission and vision of an organization; demonstrated passion for dance and dance education preferred.
- Working knowledge of a fundraising database; proficiency with SalesForce preferred.
- Proficient in Microsoft Outlook, Word, and Excel. Experience with OneCause and MobileCause are a plus.

Position Summary

Specifically, the MOL will, for example, provide marketing and communications support to education programs, events, fundraisers, Alvin Ailey American Dance Theater and Ailey II performances, and other related activities.
The MOL also plays a key role in identifying and developing relationships with media contacts as well as collaboratively designing and executing communications to engage donors and members. For community outreach, they are primarily responsible for connecting people in the broader community by creating sponsorship agreements and cultivating relationships with businesses, individuals, and other relevant organizations.

- Develops social media strategy, tracks results, and monitors postings.
- Serves as liaison to contract web designers, marketing/audience development consultants, graphic arts designers, and other disciplines as needed.
- Monitors marketing/communications expenditures to budget and explains variances.
Public Relations and Outreach

- Works with Marketing agency to develop more complex marketing materials.
- Updates and maintains distribution lists in Constant Contact and provides periodic reporting on the effectiveness of email communications/marketing.
- Develops and implements, in collaboration with the Development Team, an ongoing program of communication with existing donors, which recognizes past and current commitments and fosters support for future efforts.
- Assists in annual membership plan, including special marketing to members and the development of the annual benefits package.
Advertising
- Recommends media buying of print, radio, television, digital and outdoor advertising for the organization. Provides ROI and comparative analysis across mediums.
- Develops promotion strategy for annual presentations of Ailey II and AAADT to reach sales goals.
- For some advertising, develops concepts and completes graphic design, writes radio spots.
Box Office
- Acts as liaison to public box offices. Monitors and reports on ticket sales.
Qualifications and Skills
- Education: Bachelor’s degree in marketing, journalism, public relations, communications, or related field.
- Experience: Minimum two years’ experience in non-profit marketing, communications, and event management.
- Excellent written and verbal communications skills; well organized.
- Excellent interpersonal skills with demonstrated ability to work independently and as part of a diverse team.
- Demonstrated record of building and maintaining media relationships.
- Proficient in Office 365 software programs. Experience with Salesforce, Constant Contact, WordPress, Illustrator, Photoshop, and InDesign is preferred.
- Experience with social media marketing, box office administration, basic graphic design, and photo editing is preferred.
